FAQ

Integrated output management improves workflow, provides cost transparency, and reduces support efforts.

  Good output management is invisible

Intelligent Office Printing (IOP) offers efficient output management coupled with effortless convenience:

The integrated Accounting, Planning & Optimisation (APO) system collects detailed operational data from all output processes. When combined with the information held about the organisational structure, costs can be clearly assigned to their point of origin and the originator. Furthermore, this information forms the basis for planning future output environments. The utilisation of the printer fleet can be assessed on a regular basis against the capabilities and design of the output infrastructure.

The status of print jobs, as well as the entire printer fleet of an organisation is controlled and administrated via a central administration interface.

A standard service interface enables seamless integration of new systems and users. This means greater flexibility, independence from manufacturers and a significantly reduced effort in administering the environment.

IOP provides roaming workers with quick and easy access to the organisational printer network. Roaming workers can access printer resources anywhere in the organisation by a simple mouse click, irrespective of location.

Pre-defined business rules, direct print jobs to the most cost effective device that will print the job in the required way (double-sided, etc). If a printer problem occurs, the job is automatically re-routed to an alternative device. Users are informed by a “pop up” window, via email or SMS, where they can collect their print job.

The structures defined by IOP actively support compliance with individually defined Service Level Agreements – and are scaleable for future growth!

Details at a glance

Least cost routing
IOP uses predefined business rules to send print jobs to the most appropriate or cost effective device. If the chosen device is not able to print, the system automatically re-routes the job to an alternative device. Users are informed (pop-up window, email, SMS), where they can collect their print jobs.

Zone Printing
Users are assigned to a specific zone with a certain output infrastructure. The number and kind of output devices are adjusted to the demands of the users within this zone. The establishment of zones facilitates the intelligent routing of documents and at the same time the zone concept ensures that the distance of users from their output device does not exceed a defined norm.

On Call Printing
On Call Printing allows users to collect print jobs and release them at their convenience. Print jobs are held by the system and released at the same time by the user at a later point.

Secure Printing
Offers user discretion when printing documents with highly confidential content. Sensitive print jobs are held by the solution until the user releases the job, e.g. through entering a PIN-code at the printer.

Roaming Printing
This function allows roaming workers quick and secure access to the printer network of a particular company location. They connect simply with a mouse-click to their corresponding service zone.

Accounting, Planning & Optimisation
Collects all operational data in line with the organisation structure
Breaks down costs according to organisational units and devices
Reports about device utilisation
Integrates with other company databases or connects with common OLAP-Tools

Single Point of Control & Administration
Worldwide monitoring and control of print jobs and the output infrastructure through a central administration interface.
